HBX provides two separate portals, each with its own procedure for adding users—one for OTW customers and another for Untangled customers.
- Pull up a browser and log in to the HBX Admin Portal

https://pbx.overthewire.com.au/portal/ - Click Domains, then search using the Company Name or Company Domain.
Identify if the user to be added is under the OTW HBX or the Untangled HBX.

Add OTW HBX User
- Note the PNumber and Company Name from the HBX Admin Portal.
- Request the addition of the user as an agent through the Aussie Broadband Team by emailing Malcolm.
- Use the HubSpot Tech Template - "HBX OTW - Request to add new user"
Add Untangled HBX User
- Navigate to the Users.
- Check the listed user extensions (in the 2000 range) to determine the next available one to use.
- Click Add User on the right side.
- Enter the First Name, Last Name, Extension, Email Address, and Voicemail PIN (default is 1111).
- Click Add User.
After adding the user, you'll need to order a number from the OTW Portal to assign.
Order a number thru OTW Portal
- Login to the OTW Portal
- Under Choose an account, type 'abb' and select Untangled - ABB Wholesale HPBX Trial.
- Click NetSIP Voice, then select Indials.
- Click Order Number on the left side.
- Select Australian 1, 10 or 100 range of national numbers.
- Choose the Service Address first.
- Then, enter the Suburb corresponding to the user's company.
- Choose 1 Number if only one user is required.
- Click Continue.
The number will then be added to the Indials List.
Find the ordered number in the Indials List.
- Go back to Indials.
- Look for the number, usually on the last page with an Alias 'api,' then click the number.
- In the Alias field, rename it to 'Company Name - TEMPORARY NUMBER'.
- Click Save Changes.
This number will be added to the Untangled Inventory.
Go to Untangled Inventory to assign the new number to the company's domain.
- Navigate to the Home Page of the Untangled HBX Portal.
- Click on Inventory.
- Skip to the last page.
- Find the 'Company Name - TEMPORARY NUMBER' that you recently added, then click on the number.
- Set the Domain to the company's domain.
- Click Save.
With the domain set to the company's domain, the number will now be visible in the Company's Inventory.
Go to Company's Inventory to edit new user.
- Navigate to Untangled HBX Portal.
- Click Domains.
- Search for the Company.
- Click the Company domain.
- Navigate to Inventory.
- In the Phone Numbers section, you should now see the newly ordered and assigned number.
- Click the number.
- Set the Treatment to User.
- On User, choose the new designated extension.
- Update the Notes to 'Company Name - User's Name.'
- Click Save.
If you're adding a Call Queue, set the Treatment to "Call Queue" first and save. Then, change the Treatment back to "User" and save.
Go back to Users to update Caller ID
- Navigate to Users.
- Click the name of the new user.
- Go to Profile section.
- Scroll down to Caller ID Information
- Update Caller ID and Emergency Caller ID to Main Line's number.
Add HBX User + Softphone or Mobile App
After the user/s have been added and a number has been successfully ordered and assigned:
- Navigate to Users.
- Click the name of the new user.
For User that will use a Softphone or WebApp:
- Go to Advanced section.
- On User Setup, click the Send Welcome Email.
For User that will use a SNAPmobile:
- Go to Phones.
- Click SNAPmobile on the right side.
- Note the Host ID and Username under Login Info — these details are required in the email notification.
After you send Welcome Email (Softphone or WebApp) or gathered SNAPmobile Login Info, skip to Update HubSpot Ticket.
Add HBX User + Provision Hardware (Desk phone or Cordless)
This type of request requires:- Quote for customer to sign on HBX User + Hardware costs - request from Cindy.
- Send Quote link to customer to accept and sign.
- Check on hardware availability by coordinating with onshore team: Artemi, Anton, Cindy.
- If no hardware available, request to order first from Artemi.
- Request Artemi to Add New HBX User + Provision Hardware using the HubSpot Tech Support Template: "Hardware Order for New HBX User".
Update HubSpot Ticket
- Send an email to the customer confirming that the new user has been successfully added.
Use the appropriate HubSpot Tech Support Templates:
HBX - New User Added with SoftPhone or WebApp
HBX - New User Added with SNAPmobile - Close the tech ticket.
- Add Note to Riza such as: "Add 1 x HBX License [Input the phone number]".
- Change Pipeline to Accounts & Billing.
